Appointment Fee policy

At Pymble Dental Practice, we take pride in our professional and dedicated approach. Our team and dentists work extremely hard to keep an organised and efficient schedule for our patients, therefore keeping to schedule is integral for our practice to be able to continue to deliver the level of service and quality of care already provided to our valued patients.

When an appointment is made at Pymble Dental Practice, we reserve that exact time slot for the specific patient. We do not ever double book patients; we schedule appointments for one patient only and dedicate our materials, time and resources to that patient for that appointment. Our goal is to provide treatment in an efficient manner with as few visits as necessary.

In order to provide the highest quality of patient care and professional services to our patients, we require an adequate notice period of at least 48 hours’ notice for any cancellations or for re-scheduling appointments.

We understand that unforeseen circumstances may arise, which may result in cancelling or missing an appointment. A charge may be assessed for multiple missed, short notice or cancelled appointments.

Appointment Fee Procedure

Arriving Late

In order to provide a fair and efficient service to all of our patients, we require that all appointments made are attended by the patient at the scheduled start time. We advise all of our patients to arrive promptly or 5-10 minutes before an appointment to ensure you are ready for treatment to begin at the scheduled start time. Late arrival (of more than ten minutes) disrupts service for other patients and our team. Arriving late is non beneficial to the late patient as each appointment will be finished exactly on time as a courtesy to our next patient. We fully understand that sometimes being late is outside of your control and we will always do our best to accommodate late arrivals by performing the most complete treatment possible in the time remaining. However, arriving late to your appointment by more than 10 minutes or too late to perform the scheduled treatment will result in a cancellation charge.

Cancellation of Appointment or Failure to Attend:

Due to being a small business and the high demand for appointments we are efficient with our use of equipment, professional staff and scheduling systems. Missed or broken appointments create scheduling issues and represent a cost to both us and other patients who could have been seen in the time which was initially set aside for you. Pymble Dental Practice has a strict policy for cancellation of appointment or failure to attend. Due to the difficulty of filling last-minute cancellations, we respectfully request 48 hours notice. If this request is not fulfilled, it will be necessary to charge a $50 fee for missed appointments or last-minute cancellations.

Please advise us as soon as possible if you cannot attend an appointment. This allows us to offer your appointment to someone else on our stand by list who may require urgent treatment. Since we turn away other patients to hold your appointment, any missed appointments or cancellations with less than 48 hours notice will result in a cancellation charge. If you need to cancel your appointment within the 48 hours of notice we require, we will gladly reschedule your appointment and waive the cancellation fee.

Failing to attend, rescheduling or cancelling appointments with LESS than 48 hours’ notice in the case of falling ill, bad weather or an emergency etc. will not attract a cancellation fee.

If a patient has been charged a cancellation fee and wishes to make the next or subsequent booking then we require an appointment holding fee of $50 which, if the patient attends will be taken off the cost of treatment or refunded if the treatment does not cost up to the $50.

We may also reserve the right to charge the cost of the treatment upfront before making the next or subsequent appointment. This is only if there has been several cancellations and is obviously a last resort. We would hope that it never comes to this.

* Procedures that require long appointments, such as Zoom whitening, may require 50% deposit at the time of booking.

* All Cancellation Fees are non-refundable.

* Please bear in mind that if you do not receive a SMS or phone call, your appointment remains your responsibility for you to attend or reschedule with more than 24 hours’ notice.
